REGISTRATION OF PUREBRED SPANISH HORSE (PRE) FOALS INTO STUDBOOK

Registration of a Purebred Spanish (PRE) foal is a long slow process and it often takes 4 months or more from the day you send your application to register your foal off to BAPSH Ltd to the day that your foal’s ANCCE Passport arrives in your morning post. So it is very important to get your Registration Application completed and in the post to BAPSH Ltd within the first weeks after the foal’s birth.

1.You will need :-

a) The TOP COPY (Mare Owner Copy) of the BREEDING & BIRTH CERTIFICATE (Declaracion de Cubricion Y Nacimiento if you have a Spanish version)) for the mating of the stallion to your mare which resulted in the conception of your foal

b) An ANCCE International Application for Service Form – ANCCE International Application for Service 2019

2a. The Mare Owner must complete the BIRTH DETAILS Box (Datos de Nacimiento) on the Breeding & Birth Certificate with the foal’s NAME (Roman Numerals are automatically added by the LGPRE computer), Date of Birth, Colour, and Sex, and then sign this section. Make several photocopies of this Document for your records.       (NB Your foal will NOT normally have a microchip at this stage – ignore this box)

2b. Complete the  ANCCE International Application for Service form top section with your Name , ANCCE-LGPRE Breeder Code, your address, the Service Number 103, the number of foals you wish to Inscribe, the fee in GBP, and in the lower Box ‘HORSES YOUR ARE REQUESTING SERVICE FOR’ you write the Breeding & Birth Certificate number in the 1st column and in the 2nd column the foal’s name.

If you have more than one foal to inscribe you can put up to 10 foals on one form.

NOTE: The unique Breeding & Birth Certificate number appears beside the words Breeding Code (C.Cubricion) on bottom of the top section of the certificate – it will start with the YEAR of Covering eg., 201901234

3. Send the Breeding & Birth Certificate original, the ANCCE International Application for Service, and a Cheque (made out to BAPSH Ltd) for the fee – £210.00 per foal under 5 months old, to the Registrar at the address shown below. Or pay the Foal registration fee to BAPSH Ltd by Bank Transfer which will speed up processing time – contact the Registrar for the Bank details.

4. When the Registrar receives these documents and the cheque, they will be checked for errors and the cheque banked. As soon as the payment has been processed and cleared through the banking system the Foal will be registered in the BAPSH Ltd PRE Studbook and issued a British UELN, Microchip and DNA sample card; the Birth Certificate will also be registered with the ANCCE-LGPRE. The Foal Identification Kit and contact information for the nearest Authorised PRE Vet is then issued for the foal by the BAPSH Registry Service and sent to the Mare Owner with detailed instructions.

5a. As soon as the Mare owner receives the foal inscription package from the BAPSH Registry Service the Mare Owner books the ANCCE-LGPRE Authorised Vet to come out promptly and complete all the paperwork, microchip the foal and take the DNA blood sample.

5b. The mare owner checks and double checks the Vet’s Identification Diagram and Written Description on both BAPSH and ANCCE-LGPRE forms to ensure nothing has been omitted, all signatures and dates are completed, forms are stamped, and information complete.

5c. The BLUE CARBON COPY IS KEPT BY THE MARE OWNER AS PROOF OF INSCRIPTION

6. The mare owner then IMMEDIATELY sends the signed, dated, fully completed paperwork, and DNA blood card in its plastic bag, back to the Registrar.

ANCCE-LGPRE expect the foal’s Vet ID etc to be completed and returned to the BAPSH Registrar in LESS than 30 days FROM the Owner’s RECEIPT of the foal inscription documents

NOTE: There are LATE REGISTRATION FEES (PENALTIES) imposed if the completed foal inscription (AFTER the VET ID visit) is received after the foal is 5mths old by birthdate. These ‘Late Fees’ accumulate monthly at £10.00 per month or part thereof and must be paid before the foal’s documents can be forwarded to the ANCCE-LGPRE.

PRE FOALS – PROCEDURES FOR IDENTIFICATION BY YOUR SPANISH STUDBOOK AUTHORISED VET.

1.First Step.

Contact your Spanish Studbook Authorised vet to arrange an appointment for him/her to perform the formal identification of your foal/youngster. This can either be a visit your property, or if it is more convenient (cheaper) arrange to take your foal/youngster to the Vet Practice.

2.Preparation for the Visit

Make sure that there is somewhere clean and dry, close to where the foal will be inspected, for the paperwork and the DNA Card to be placed. There needs to be a flat firm surface for writing and to place the DNA Card.

When the vet arrives, go through all the paperwork etc with him and lay it all out on your prepared surface so that it is easy to access. Open the plastic bag with the DNA Card and then open up the card flat, placing it on top of the bag. TAKE GREAT CARE NOT TO TOUCH THE BLOTTING PAPER OR THE DNA SAMPLE WILL BE CONTAMINATED AND USELESS !!!!

3.IDENTIFICATION BY THE SPANISH STUDBOOK AUTHORISED VET

a) Using the BAPSH Ltd Application for Registration Form The ID section, page 2, MUST be kept CLEAN of mud, blood and water whilst the Vet is completing the ID, as this ID will be scanned and uploaded to create the Foal’s Passport Section IA – ID page

The vet completes the identification section for your horse. Using BLACK ink he marks the Whorls and feathered whorls, any scars, and any brand. With RED ink he marks the outline of any White markings and then hatches the area, white hooves and fleshmarks are marked with solid RED ink. The colour of the birth-coat should be noted accurately with the correct terminology and also whether the foal appears to be Greying. If there is any doubt about the foal’s actual coat colour BAPSH will require a coat colour test to be completed with Animal Genetics UK to determine the true colouring. The colour of the Irises and the foal’s skin underlying its hair must also be recorded. A full written description should be made on this form. This written description will be used for the Passport Section IB.

b) BLOOD SAMPLE FOR THE DNA CARD (ONE CARD ONLY AS OF JAN 2010)
The vet must take a sample of approximately 2mls of blood from the Foal’s jugular vein by using an ordinary needle and syringe. This is then immediately transferred to the SINGLE DNA Card. The Vet must drip 6 evenly spaced circular 1.5cm diameter drops of blood in two rows onto the DNA Card. The card must be left open in a dust free area for the blood to dry totally before posting to BAPSH Ltd.  EXAMPLE OF CORRECT BLOOD SPOTS ON DNA CARD

c) INSERTING THE MICROCHIP
The microchip should be inserted into the tissue just under the skin on the LEFTSIDE of the NECK, approximately halfway between the poll and the wither and just below the crest. The Vet should check that it is reading normally, and then note the POSITION of the Microchip onto the BAPSH ID Diagram using a capital M with a circle around it.

4 COMPLETEING THE PAPERWORK WITH THE VET

a) THE BAPSH REGISTRATION FORM.
The vet completes the boxes at the bottom with his own details, date, official stamp, etc, and signs it TWICE. You as the owner then need to complete all other sections of the BAPSH Form and sign and date it.

b) ANCCE PREINSCRIPTION DOCUMENT
The Vet should now copy across the details of the Foal’s Identification from the BAPSH ID form to the ANCCE PREINSCRIPTION DOCUMENT.
Breeders please CHECK that both IDENTIFICATION DIAGRAMS MATCH – that ALL the markings are transferred to the ANCCE form .

The Foal’s Colour is written in SPANISH on this form, and only FOUR COLOURS are permitted for registration of foals in the ANCCE-LGPRE at this stage, which are the three base coat colours NEGRO = BLACK, CASTANO=BAY, ALAZAN=CHESTNUT, and TORDO=GREY.

If you have a DILUTE coloured foal, eg. Buckskin, Cremello, Smokey Black, you must ALSO apply for the Service 243 Genetic Coat Colour Analysis at the same time (£67.00) in order to get your special foal registered with its correct special coat colour. Print off a 2nd ANCCE International Application for Service Form and fill it out stating Service 243 – send it with the rest of the documents.
New ANCCE regulations – BLUE EYED Foals MUST have the Service 243 applied for with the registration application in order to be admitted to the ANCCE-LGPRE Studbook Birth Register

The sex is written in Spanish – HEMBRA=FEMALE, MACHO=MALE

The date is the day of the identification, and the Location is where the ID has taken place.

SIGNATURES -The BREEDER must sign the form,& the VET must SIGN, & STAMP the form, and write his MRCVS number.

c) THE DNA BLOOD CARD

The Vet now completes the data on the DNA Card. The foal’s colour, date of birth (if not already present), the sampling date, and their own name as the sample taker. The card is then placed back into the ziplock bag and sealed.

5 SEND THE DOCUMENTS BACK TO BAPSH REGISTRY OFFICE – MUST BE WITHIN 3 WEEKS OF YOUR RECEIPT

This is URGENT, the OWNER/BREEDER must send the following documents to the BAPSH office

BEFORE THE FOAL IS FIVE MONTHS OLD OR LATE FEES ACCRUE FOR EACH MONTH OVERDUE (or part month)

  1. The BAPSH Registration Application form.
  2. The WHITE & YELLOW COPIES of the ANCCE-LGPRE PREINSCRIPTION DOCUMENT
  3. The ONE DNA Blood Card in its bag
  4. Any Late Fees accrued at £10.00 per month or part month (Cheque payable to BAPSH Ltd)

THE OWNER/BREEDER KEEPS THE BLUE CARBON AS THE FOAL’S TEMPORARY IDENTITY DOCUMENT

6. BRITISH INTERNATIONAL PRE PASSPORT
The foal’s Passport will be issued by BAPSH Ltd after the receipt from Spain of the ANCCE-LGPRE Certificate of Origin and Zootechnical Certificate which verify the PRE pedigree parentage of the foal and it’s DUAL registration in the BAPSH Ltd PRE Studbook and the ANCCE-LGPRE Mother Studbook.
The ANCCE-LGPRE  Certificates are issued once the foal’s DNA sample has been processed by ANCCE-Lab in Seville and declared compatible with the parents. This is now taking just a couple of weeks (previously 3mths) providing there are no delays by Customs inspections either into or out of Spain.
The ANCCE-LGPRE documents are permanently bound into the BAPSH Ltd PRE Passport and the completed passport is sent to the registered owner of the foal.

TIGHT DEADLINES MUST BE COMPLIED WITH – ON RECEIPT OF THE INSCRIPTION PACKAGE YOU MUST GET STEPS 1 TO 5 COMPLETED AND EVERYTHING BACK TO THE REGISTRY OFFICE IN UNDER 3 WEEKS
